Job Description



POSITION SUMMARY

Position is first and foremost that of a Group Housing Manager and while administrative functionality is important, the position is responsible for the flow through of information and data in the department as it relates to room block management. The Group housing Manager will directly support Event Service Managers for assigned groups with room block related correspondences with clients, resolving housing questions for assigned groups, managing inventory of room blocks, making changes and responding to client requests and needs for housing. The Group Housing Manager will report directly to the Revenue Manager.

  • Maintain Swissôtel standards of luxury via the Group Reservation experience 
  • Manage all city-wide group housing needs and in-house groups as assigned by the Director or Assistant Director of Event Services 
  • Ensure the accuracy Group Related reservations
  • Manage the group room block process
  • Attend and lead as needed the weekly group pick-up meetings & bi-weekly city-wide meetings
  • Accurate and timely data entry into all systems, to include contracts and rooming lists
  • Serve as a communication liaison between our customers and Sales and Service team
  • Demonstrates a detailed understanding of the sales process, and the ability to prioritize and successfully carry out multiple duties and tasks
  • Coordinate, process and enter group rooming lists, mindful of cut-off dates, and apprising management of any and all changes of group status, insuring the hotel maximizes top line revenue and mindful to not over-sell the hotel
  • Facilitates VIP management
  • Processing room upgrades and rooms related concessions
  • Place Access exclusions in ORS
  • Review cut off dates daily to ensure group rooms are not released
  • Acts as key contact / administrator and manager for Passkey and contact to central reservation for Group, which includes and not limited to updating cut-off dates, updating inventory, and closing sold out dates
  • Manage the no-show process for assigned groups
  • Process final pick-up reports, audits, commissions, and rebates
  • Proficient in Microsoft Word and Excel
  • Any other tasks that may be assigned

Qualifications



YOUR EXPERIENCE AND SKILLS INCLUDE:

  • 3-5 years in related and/or equivalent sales or event service experience preferred
  • Bachelor’s Degree or 2 year degree from accredited university
  • Strong administrative skill set
  • Working knowledge and experience preferred with Microsoft office – word, excel, PowerPoint along with Opera Property Manager. 
  • Experience with Opera Sales & Catering an asset
  • Professional, polished verbal presentation skills
